The landlord gas safety record: mandatory content

The annual check

Under the Gas Safety (Installation and Use) Regulations 1998, landlords must ensure annual gas safety checks are carried out on gas appliances and fittings by a Gas Safe registered engineer. The 2018 amendment did not relax this requirement.

What the record must contain

A gas safety check record must include:

  • a description and location of every appliance or flue checked;
  • the date of the check;
  • the property address;
  • the landlord's (or agent's) name and address;
  • the engineer's name, Gas Safe registration number and signature;
  • any safety defect found and the remedial action taken;
  • confirmation that the matters in regulation 26(9)(a)–(d) were examined.

Landlords may design their own form provided all these fields are present and the form is given to the engineer before the check begins.

Issuing and keeping the record

After each check, the landlord must give existing tenants a copy of the record within 28 days; new tenants must receive it before they move in. For tenancies of 28 days or less, a prominently displayed copy is acceptable. The record must be kept for a minimum of two years, with the clock running from each individual check.
